What to control
- Match each reservation to the payout
- Check fees against the management agreement
- Attach receipts for owner-charged expenses
- Send one exception list before the statement
Operating context
An owner statement is a financial document. It should reconcile to the booking system, the bank payout, and the approved expenses. A statement assembled from memory invites disputes.
Start with the reservations included in the period and the payout received. Match each reservation to the statement line. Note cancellations, refunds, and chargebacks separately.
A workable routine
Check management fees, cleaning fees, and platform fees against the agreement. A fee that changed mid-period needs the amendment reference beside it.
Attach receipts for expenses charged to the owner. Do not net an expense against a reservation without a clear line and an approval.
Review and evidence
Send the owner one exception list with the statement: what differs, the source, the proposed correction, and who decides. A clean statement plus a short exceptions page is easier to trust than a perfect-looking total.
