What to control
- Log the vendor, time, and purpose
- Record the access method and approver
- Capture completion evidence
- Confirm the unit is secure
Operating context
Vendors enter units when guests are out and the coordinator is remote. An access log makes the visit reviewable and protects both the vendor and the owner.
Record the vendor, the company, the time in and out, the purpose, and the work order. Note the access method and who approved it.
A workable routine
Do not share a permanent code. Use a time-bound code or an escort. If a key is used, record its return.
Capture completion evidence: a photo, a signed note, or a short report. A verbal done is not enough to close the ticket.
Review and evidence
Confirm the unit is secure and ready for the next guest. Note any follow-up and who owns it.
